School Group Ski & Snowboard Lesson Program Terms and conditions 2025-26

Communication Guidelines 
All communication regarding the school lesson program must be directed to your school group’s designated organizer. This includes:

  • Absence notifications due to illness or injury (including doctor’s notes)
  • Changes to registration details (e.g., rentals, ability level)
  • Requests for private lessons
  • Checking if the Value Season Pass discount email has already been sent

Please do not contact Mt Seymour’s Guest Services or Schools teams directly. They are unable to respond to individual families.

Booking Eligibility
Lessons are for children who are at least 7 years old and enrolled in Grades 2-12 at a BC curriculum school.
Minimum school group size of 20 children. At least 6 children per ability level (same sport).

Reservation & Lesson Registration
The reservation form includes a set number of ski and snowboard lesson spots and a registration deadline.
To request a change to these numbers or make changes to a child’s registration (e.g., adding rentals or switching sports), the organizer must us before the registration deadline. Changes are subject to availability.
All registrations must be received by the registration deadline. Late registrations cannot be accepted.
If fewer than six children register at the same ability level (same sport), adjustments may be necessary. These may include grouping with children of similar abilities, arranging small-group or private lessons (additional $20/hour), switching to the other sport, or, if no suitable alternative is available, withdrawing from the lesson program. A timely decision from the school group will be required. Once confirmed, these registration details will be reflected on the invoice and must be paid in full.
Mixed-ability lesson groups will stay on terrain suited to the lowest skill level.
Mt Seymour’s Snow School department will assign children to lesson groups. If you have a specific request (such as keeping specific children separated), contact us at least 21 days before the first lesson.
A parent or guardian must complete the acknowledgement form for each child at least 14 days before the first lesson. Please review the form with the child while completing it.

Private Lessons
Private lessons must be requested before the registration deadline. A private lesson costs an additional $20/hour and requires advance details to help match a suitable instructor. Availability is not guaranteed. 
If a private lesson cannot be arranged, the child will be withdrawn from the program with a full refund.

Payment
An invoice will be sent after registration details are finalized. One full payment (100% of the invoice) is required 28 days before the first lesson. Preferred payment method is Electronic Funds Transfer (EFT). Credit cards are accepted by phone. We discourage payment by cheque due to potential delivery delays.
Any additional charges will be invoiced after the final lesson and must be paid within 28 days.
Individual payments from parents/guardians are not accepted. Season pass discounts/perks do not apply.

Withdrawals & Refunds
Once registration is finalized, withdrawals are only permitted if a child cannot attend due to illness or injury (with a doctor’s note) or is no longer enrolled at the school. The organizer must let us know by the day before the first lesson. The doctor’s note must be submitted within 7 days.
Substitutions are reviewed case-by-case; contact us to inquire.
Refunds will not be issued for absences due to illness or injury if we are notified on or after the day of the tour, even if a doctor’s note is provided. These absences may be eligible for a gift code (see ‘Absences’).
If your invoice has been paid, approved refunds will be issued after the final lesson. We do not issue refunds directly to families. Your school group is responsible for distributing refunds.

Meal Program
The entire school group’s meal order must be submitted at least 35 days before the first lesson.
Meal orders are non-refundable and cannot be changed once submitted, unless a child withdraws from the lesson program and the organizer provides at least 7 days’ notice before the first lesson, specifying which meal to cancel.
We do not recommend the meal program for children with food allergies or intolerances.
Any unclaimed meals are the responsibility of the main chaperone.

Rescheduling & Cancellations
To reschedule, a new date must be confirmed by us at least 28 days before the scheduled lesson.
To cancel a visit or the entire lesson program and receive a refund, email notice must be received at least 28 days prior to the visit. Cancellations within 28 days of a visit are non-refundable.
If your school is closed due to extreme weather or an official road advisory (e.g., from DriveBC or local authorities) prevents travel, and your school group cannot attend, you must notify us as soon as possible (at least 3 hours before the lesson). We will try to reschedule; if that is not possible, a refund will be issued.

Adjustments, Rescheduling & Cancellations by Mt Seymour
Lesson availability and groupings may be adjusted based on instructor availability.
We may adjust or cancel a scheduled visit due to inclement weather, road closures, or other factors. Since alpine conditions can change quickly, decisions are made carefully and only when necessary. 
If we cancel a visit, we will try to reschedule. If that is not possible, a refund will be issued. 
If your school group misses a deadline, we may need to reschedule or cancel the lesson program.

Absences
Please note that our absence policy has changed:

  • Refunds are no longer offered for missed lessons.
  • Gift codes are now only available for absences due to illness or injury. 

To be eligible for a gift code for a weekday lift ticket (with rental, if purchased), the absence must be reported within 7 days of the final lesson. The organizer must send one email listing all illness- or injury-related absences, including full names and missed lesson dates.
Gift codes will be valid through the 2025-26 season and sent to the organizer to distribute to families.
Absences due to scheduling conflicts or other reasons do not qualify for gift codes. 
Level 1 participants who miss both the first and second lesson of a 3- or 4-day program will be withdrawn from the remaining lessons. A refund will be issued for the third and/or fourth lesson.
Make-up lessons are not available for any missed lessons, regardless of the reason.

Chaperones
Chaperones must be adults and are required to supervise children from arrival to departure, except during the lesson when children are with their instructors. Chaperones must be familiar with the children in their care and follow instructions from staff. 
Chaperones are responsible for distributing lesson tags.
At least two chaperones must be on-hill and reachable by phone. Ideally, one stays off the snow.
We provide one complimentary chaperone lift ticket and rental for every eight children. The main chaperone must assign which chaperones receive this access, valid only during the visit. Please submit chaperone details in advance using our Excel spreadsheet (separate from lesson registration). Chaperones must sign the required waivers before the first lesson.
Once all children are ready, we’ll begin issuing lift tickets and rentals to chaperones, as long as some continue supervising children until lessons begin. Tickets are issued up to 30 minutes after lesson start.
Some children may need extra support from a chaperone during their lesson. Your school group should identify these needs in advance. Let us know the child’s full name, important information, and the chaperone’s name. The chaperone must be a confident skier or snowboarder. They will receive a complimentary lift ticket and rental if needed. This chaperone does not count toward the chaperone-to-child ratio. Sometimes, support needs only become clear once lessons begin. In that case, we will contact the main chaperone and ask that they assign a chaperone to assist the child during the lesson.
Additional chaperones may purchase discounted lift tickets and rentals on-hill. These purchases cannot be added to your school group’s invoice.

Duty of Care
Duty of care is transferred between Mt Seymour instructors and chaperones.
Duty of care transfers from the chaperones to Mt Seymour instructors at the start of each organized lesson. At the end of the lesson, duty of care is returned to the chaperones.
During arrival, breaks, departure, and “extra time”, the duty of care remains with chaperones.
“Extra time” must be organized with Mt Seymour at the time of booking.

Helmet Policy
All lesson participants are required to wear a helmet. Helmets will be provided free of charge, subject to availability, for children who do not have one. Children who practice the Sikh religion and wear culturally significant headwear, such as turbans, may ski or snowboard without a helmet if a Lesson Policy Exemption for Wearing a Helmet Agreement is signed by both the parent or guardian and the school group, and a printed copy of the signed agreement is presented at check-in.

Rentals
Rental equipment must be returned immediately after the lesson unless extra time has been booked.
Rental Damage Protection (RDP) costs $5.60/day and covers loss or damage of your rental equipment. Without RDP, you will be expected to pay for the full cost to replace the equipment, or the cost to repair any damage. Improper use of equipment is not covered.
Children who obtain their own equipment after purchasing rentals may receive a refund for rental fees, provided the organizer contacts us at least 14 days before the first lesson.
Children with both a Season Pass and a Rental Season Pass do not pay again for rentals but must note this during registration, so we know to prepare their rental equipment.

Extra Time
School groups may continue skiing or snowboarding after lessons at no extra cost. Extra time is subject to availability and must be booked in advance. Chaperones must actively supervise children on the slopes. Terrain parks are off-limits to children for the entire visit, including during extra time.

Facility Use Expectations 
School groups taking part in a 4-hour lesson (or a 2-hour lesson with the meal program) will be assigned a designated break area for a set time. This space may be outdoors under a tent and could be shared with other guests. Only use the reserved tables and chairs and avoid occupying other areas.
School groups attending only a 2-hour lesson may use the tent if available. No break area will be reserved.
Chaperones must supervise children during breaks. Keep noise to a low volume and clean up properly.
A $30/hour cleaning fee may apply for extensive cleanup. Additional charges may apply for damage.

Weather, Transportation & Safety
Mt Seymour is an alpine environment where weather can change quickly. Lessons run in rain, snow, and cold weather unless we announce a cancellation. Check our website for weather and operational updates.
School groups must arrange transportation that is safe for winter conditions. From Oct 1-Mar 31, all vehicles must have winter tires in good condition, marked with the peaked mountain/snowflake or M+S symbol. In extreme conditions, all-wheel-drive vehicles with mountain/snowflake tires are required. 
Be sure to confirm the cancellation/refund policy of your transportation provider.
All guests should review the safety and risk awareness section of our website before visiting. 
We reserve the right to remove a participant who does not follow the rules or staff instructions.

Visit
School groups should arrive one hour before the lesson for check-in. On the first visit, all children and chaperones must arrive together. For subsequent visits, non-renters may arrive closer to lesson time.
Please park near the Rentals building, located inside the Alpine Activity Centre. If arriving by bus, keep all children on board until after a staff member delivers the welcome speech (first day only). Buses may be asked to park in the P2 lot after drop-off. If arriving by car, please carpool and gather outside the front of Rentals, keeping clear of the doors. The welcome speech will be delivered outside Rentals.
At each visit, the main chaperone must come inside Rentals alone to complete check-in. On the first day, children should remain on the bus (or outside Rentals if arriving by car) while check-in is completed. On subsequent visits, children may begin getting ready (putting bags away, using the washroom, etc.) but must wait for the main chaperone to finish check-in and for staff to allow entry into Rentals.
Latecomers may not be permitted to join once a lesson has begun. In such cases, children must remain under the supervision of a parent/guardian or chaperone. The lesson will end at the scheduled time.
Terrain parks are off-limits to children for the entire visit, including during extra time.

Bag Storage
New for this winter, only renters’ shoes may be stored inside the Rentals building. Bags and non-renters’ shoes can be stored in the shared trailer outside Rentals in the P4 lot. Items are left at your own risk.
Some school groups choose to store their bags on their buses or in cars.

Lost & Found
Fill out the Lost & Found form on our website. Recovered items can be picked up at Guest Services.

Packing List
Dress for any weather! We recommend wearing winter boots, a waterproof jacket, waterproof pants, base layers, a warm layer (such as a fleece), warm socks, winter gloves, goggles, a neck warmer, and a toque.
Pack a backpack with a water bottle, food, and extra socks. Please keep valuables at home.

Discounted Value Season Pass
Children in Grades 4-8 enrolled in a 4-day school lesson program are eligible to purchase a discounted Value Season Pass for the 2025-26 season. Click here to learn about Value Season Passes.  

Discounted pricing is $49 for children (ages 5-12) and $99 for youth (ages 13-18). A $5 RFID card fee is added for new passholders, and 5% GST will be added to the total.

Each child will receive purchase details via the email address they provided during registration, 1-2 weeks after your school group's payment is received. Be sure to check all folders, including spam and junk.

Children in Grades 4-8 may be eligible for a gift card credit if they purchased both a full-price 2025-26 Value Season Pass and a 4-day school lesson program. Eligibility is subject to our approval. 

Credits are unlikely to be provided if any portion of the lesson program is refunded. 

Full Season Pass holders are not eligible for gift card credits. 

Credit requests must be submitted via this form by March 31, 2026. Late submissions and requests via email, phone, or in person will not be accepted. Credits will be processed in the spring of 2026.
