Snow School Admin Assistant

Administrative Support for our Snow School Team for Winter 26/27

Mt Seymour is a winter recreation area located in North Vancouver, we offer a variety of winter recreation activities including skiing, snowboarding, snowshoeing, lesson, and interpretive programs.

We are currently recruiting for a full-time Snow School Admin Assistant to join our Snow School Department for the 2026/27 Winter Season. Reporting to the Snow School Manager, the Admin Assistant's primary task is assisting the Snow School Leadership Team with administrative tasks, such as responding to staff communications, helping onboard staff, overseeing the instructors’ schedule changes and requests, OH&S administrative tasks and other administrative duties. 

Summary of Responsibilities:

The Admin Assistant must work closely with the Manager, Assistant Manager and Leadership Team to ensure that the on-hill product remains of the highest quality, as well as with the Guest Experience and Schools & Groups departments to accurately and efficiently coordinate lesson bookings and instructor schedules. This is a key role which helps our large department operate efficiently over the fall, winter and spring!

Duties & Responsibilities:

  • Responding to staff communications through e-mail, telephone, in person and online-form enquiries within 48 hours.
  • Delegates specific communication tasks to other Snow School Leadership Team members where needed.
  • Helps create and maintain the schedules for Snowsports Instructors. Ensuring that adequate staff are scheduled throughout the season and facilitating time-off and shift-swap requests. They work alongside the Operational Supervisors to manage the day-to-day nuances of the schedule.
  • Working with Program Supervisors to check on registration numbers and review staffing and program capacity to ensure there is adequate cover in the schedule.
  • Ensures that schedules for all staff are completed and posted with due notice and in accordance with BC Employment Standards.
  • Assists with hiring, onboarding, and training instructors and monitoring staffing levels.
  • Works with appropriate Supervisors to maintain a system that coordinates all schools, camps, and group bookings to ensure an accurate and complete schedule.
  • Works with the Daily Lessons Supervisors to ensure that there is appropriate instructor capacity for the expected demand.
  • Communication hub for private lesson requests – working with Guest Experience Lesson Supervisors and the Snow School Supervisors to facilitate requested lessons.
  • Documents and follows up with OH&S incidents and compliance in the Snow School Department
  • Helps implement policy and facilitate the achievement of department goals.
  • Maintains a working staff list for the entire department.
  • Various administrative duties, including managing instructor uniforms, start-up, and end-of-season packages, managing booking files and calendars, and ordering operating supplies.
  • Assists with the planning of staff events.
  • Participate in department-wide meetings

Qualifications:

  • CSIA or CASI Level 1 instructing certification or equivalent instructing certification is preferred but not essential. Previous experience in a mountain or similar seasonal or tourism/hospitality operation is advantageous.
  • Interest in the winter recreation industry.
  • Excellent verbal and written communication skills.
  • Highly organized with strong time management skills.
  • Excellent administration and problem-solving skills.
  • Self-starter who can prioritize and anticipate future priorities.
  • Excellent guest service skills; previous customer service experience is an asset.
  • Proven experience with MS Office (particularly Word, Excel, and Outlook).
  • Previous scheduling experience is an asset.
  • Own transport is an asset, but a staff shuttle bus pass is provided.

Terms of Employment:

  • Paid hourly, working hours are expected to be 30 - 40 hours per week.
  • Seasonal, Early-September 2026 to Mid-April 2027.
  • Must be able to work at least one weekend day, holidays, and some evenings.
  • Complimentary season pass and shuttle bus pass provided.

Salary:

  • The initial hourly rate is $21.50 per hour, which can be adjusted through negotiation according to your experience and qualifications.
