Administration Coordinator

Full-Time, Year Round Position, Maternity Leave Cover

Title: Administration Coordinator 
Department: Administration
Reports to: General Manager


The Administration Coordinator works with the General Manager to support the overall successful operation of Mt Seymour Resorts (MSR) and Sea to Sky Parks Services (STS) through a range of administrative activities.


  • You will work with the General Manager to respond to and action all incoming emails and correspondence
  • You will provide ongoing administrative support to the General Manager in areas such as the production of letters, memos, policies, and other communication pieces, including proofreading and distribution
  • You will participate in daily briefing sessions with the General Manager to coordinate the day’s activities
  • You will oversee incoming and outgoing mail and courier services and respond to all general inquiries
  • You will work with the General Manager to schedule and manage meetings and appointments including attending some appointments in the General Manager’s place
  • You will set up, attend, and participate in meetings, take meeting minutes, circulate as required & follow up with action points
  • You will generate, maintain, and update a database of standard letters, forms, and documents that are to be used within the executive office, as well as maintain an efficient filing system, which facilitates the quick retrieval of information
  • You will assist with writing, researching, formatting, editing, and assembling Annual Operating Plans (AOPs) and Proposal Writing (RFPs)
  • You will oversee the ordering of office supplies and general Personal Protective Equipment (PPE)
  • You will take ownership of special projects as needed, carrying out research, conducting meetings, and following up to ensure the project is moving forward according to established timelines
  • You will maintain our relationship with the Canada West Ski Area Association (CWSAA) and the Society of Park Operators (SPO)
  • You will establish and maintain working relationships/ongoing communications with BC Parks and other government and community stakeholders
  • You will work with IT to create greater efficiencies in communications, scheduling, and improved administrative efficiency
  • Maintain and monitor telecommunications contracts (cellular phones, Versature phone system, and other telecommunications as required)
  • You will provide administrative support to the STS Controller and two Area Managers as directed by the General Manager
  • You may be required to assist with the organization of specialized training required by STS and MSR and assist with high-level Human Resource tasks as needed
  • You will assist with media inquiries for the General Managers' office and as directed
  • You will assist with planning and executing the STS marketing and advertising initiative
  • Other related duties as required


  • You have a Grade 12 graduation combined with College or University degree/credits in a related discipline
  • You have strong administration, organizational, and typing skills (60wpm), and you are proficient with Microsoft Office and possess excellent oral, and written communication skills, and excellent interpersonal skills
  • You are a strong team player, yet able to work independently and can demonstrate strong use of initiative
  • You can demonstrate the ability to work efficiently under pressure and adhere to deadlines
